    • Media and content involving beneficiaries of the fund (e.g., text containing names, photos, audio and videos).

How we get the personal information and why we have it:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • If you choose to contact us via email (for example by sending us an application). Any personal data contained within that will be processed by Google’s Gmail service and will be stored in line with our deletion policy (outlined below)

  • If you send an application by post, again, data contained will be stored and disposed of securely

  • If you choose to sign up to our newsletter either via email or using the submission form on this website. You can opt out of being on the newsletter via the button at the end of newsletters you receive or alternatively by emailing contact@jmmfund.co.uk

  • If you choose to make a Gift Aid Declaration, this information will be shared with HMRC in order for us to be able to claim Gift Aid

  • If you as a beneficiary (and where applicable your parent(s) or legal guardian(s)) consented to providing media / content to allow us to provide updates on the fund on our website.

We also may receive personal information indirectly, from the following sources in the following scenarios:

  • If you choose to make a donation, you will be redirected to our Payment Service Provider PayPal, data provided by you as part of that transaction will be collected by PayPal and some of that may be visible to the Jayne Morley Memorial Fund through PayPal’s service

  • If you have visited our site via Google’s search engine, we may receive certain information from Google Analytics to understand web traffic to our website. This also applies if you have visited our site through another search engine or social media platform

  • Our website is hosted on the Wix.com platform which allows us to share our service with you. Your data may be stored through Wix’s data storage, databases and the general Wix.com applications

  • We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page.

We use the information that you have given to us in order to provide and operate our services:

  1. To provide Visitors and Users of the site with the ability to contact us with enquiries, make donations and Gift Aid declarations, and if applicable, to review applications made by or on behalf of beneficiaries for the purposes of assessing access to the grant

  2. To be able to contact our Visitors and Users with general or personalized service-related notices and updates where applicable

  3. To create aggregated statistical data and other aggregated and/or inferred non-personal information, which we or our business partners may use to provide and improve our respective services

  4. To comply with any applicable laws and regulations.

We may share certain elements of this information with Google, Wix.com, PayPal and / or HMRC (where applicable). For example, when responding to an email via Gmail, reviewing web traffic information on Wix.com or updating the site with beneficiary / news updates, searching for transaction information via PayPal and / or to provide any Gift Aid Declaration details provided by you to HMRC.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting contact@jmmfund.co.uk

(b) We have a legitimate interest.

How we store your personal information & deletion policy:

Your information is securely stored.

We keep information contained within beneficiary applications for up to 120 days to allow the application to be processed and any relevant information stored (e.g. contact details to maintain communication). Once the application has been reviewed by the trustees, it is securely disposed of through deletion of the email or if it is a hard copy, through its destruction. Any other personal information we control will be assessed in an annual review.

 

Your data protection rights:

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
